Tasks help you track what needs to be done across your organisation. Create tasks with deadlines, assign them to team members, and link them to specific cases or members. Tasks appear throughout Plinth — on the dedicated tasks page, on member profiles, within cases, and on your home dashboard.

Why use Tasks?

  • Stay organised — Keep track of follow-ups, actions, and to-dos in one place

  • Assign work — Use @mentions to assign tasks to specific team members

  • Set deadlines — Add due dates and see overdue tasks at a glance

  • Link to context — Attach tasks to members and cases so nothing gets lost

  • Prioritise — Mark tasks as low, medium, or high priority


The Tasks Page

Go to Tasks in the sidebar to see all tasks across your organisation.

Tabs

Tasks are organised into three tabs:

  • Active — Tasks that are open and not yet completed

  • Overdue — Tasks with a deadline that has passed

  • Completed — Tasks that have been marked as done

Filtering

Use the assignee filter to show only tasks assigned to a specific team member. This is useful for supervision, workload review, or focusing on your own tasks.

Sorting

Tasks can be sorted by assignee to group related work together.


Creating a Task

You can create tasks from several places in Plinth:

From the Tasks Page

  1. Go to Tasks

  2. Click Add task

  3. Enter the task title

  4. Optionally add a deadline, priority (low, medium, or high), and @mentions to assign the task

  5. Optionally link the task to one or more cases

  6. Save

From a Member's Profile

When viewing a member, you can add tasks directly from their profile. These tasks are automatically linked to that member, making them easy to find later.

From a Case

Within a case, you can create tasks that are linked to that case. This keeps case-related actions organised alongside the case notes and history.

From the Home Dashboard

The home dashboard includes a tasks section where you can quickly add and manage tasks without navigating away.


Editing Tasks

Click on any task to edit it inline. You can update:

  • Title — What needs to be done

  • Mentions — @mention team members to assign or notify them

  • Priority — Low, medium, or high

  • Deadline — When the task is due

  • Cases — Link or unlink cases


Completing and Deleting Tasks

To mark a task as done, click the complete checkbox next to it. Completed tasks move to the Completed tab.

To remove a task entirely, click the delete button. Deleted tasks are permanently removed.


Tasks on Member Profiles

When you view a member's profile, you'll see any tasks linked to that member. If the member has open cases, you'll also see tasks linked to those cases. This gives a complete picture of outstanding actions for that person.


Tasks in Cases

Within a case, the task list shows all tasks linked to that case. This is useful for tracking actions agreed during case meetings or supervision:

  • "Chase housing referral by Friday"

  • "Book appointment with benefits advisor"

  • "Follow up on medication review"


@Mentions and Assignments

Use the @mention feature to assign tasks to team members. When you type @ followed by a name, a dropdown appears with matching team members. Selecting a person adds them as an assignee.

Mentions appear visually in the task title, making it clear who is responsible.


Best Practices

Be specific

"Follow up" is vague. "Call Sarah about housing application by Thursday" is actionable. Include enough detail that anyone reading the task knows what needs to happen.

Set deadlines

Tasks without deadlines tend to drift. Even a rough deadline helps prioritise work and makes the Overdue tab useful.

Use priorities consistently

Agree as a team what each priority level means. High priority should be reserved for genuinely urgent actions.

Link to cases and members

Always link tasks to the relevant case or member. This ensures the task appears in context and doesn't get lost in a general list.

Review regularly

Check the Overdue tab regularly — ideally daily. Use the assignee filter in supervisions to review each team member's outstanding tasks.


Frequently Asked Questions

Can I assign a task to multiple people?

Yes. Use multiple @mentions to assign a task to several team members.

Do tasks send notifications?

Tasks with @mentions appear for the assigned person. Check notifications settings for how task assignments are surfaced.

Can I see all my tasks in one place?

Yes. Go to the Tasks page and filter by your name to see everything assigned to you across all members and cases.

What happens to tasks when a case is closed?

Tasks remain visible even after a case is closed. Complete them if the actions are done, or delete them if they're no longer relevant.

Can I reopen a completed task?

Completed tasks appear in the Completed tab. If you need to revisit an action, create a new task rather than trying to revert a completed one.
